• Manage and oversee the day-to-day administration of the TAG Energy Namibia office, ensuring smooth and professional operations at all times.
• Serve as the primary point of contact for visitors and clients at the physical office, ensuring professional reception and a positive client experience.
• Conduct physical visits to client sites as required for relationship management, document submission, follow-ups, and coordination of business activities.
• Handle all general administrative tasks, including office coordination, correspondence, record-keeping, filing systems, and logistics support.
• Support company registration, statutory filings, permits, and regulatory documentation in Namibia in collaboration with legal advisers and relevant authorities.
• Provide administrative support to the Sales and Business Development team, including scheduling meetings, managing correspondence, and maintaining records.
• Prepare, review, and manage sales documentation such as proposals, quotations, presentations, and client communications.
• Maintain and update customer databases, CRM systems, sales trackers, and opportunity pipelines.
• Coordinate internal approvals for quotations, contracts, and commercial documents in line with company policies.
• Assist with the preparation and submission of tenders, expressions of interest (EOIs), and pre-qualification documents when required.
• Track sales performance metrics and prepare periodic sales reports, dashboards, and summaries for management review.
• Support invoicing processes by liaising with finance to ensure timely issuance and follow-up on payments.
• Manage filing systems (electronic and hard copy) for sales contracts, agreements, and client records.
• Coordinate client meetings, presentations, and follow-up actions to ensure effective customer engagement.
• Support onboarding of new clients by coordinating documentation and internal processes.
• Assist in maintaining the company’s marketing and sales materials, including profiles, brochures, and capability statements.
• Ensure compliance with company policies, QHSE standards, and applicable regulatory requirements in all sales activities.
• Promote quality, safety, and environmental awareness within all administrative and sales support activities.
• Carry out any other sales or administrative duties as assigned by management.
